Job Description

Position Summary

The Real Estate Transaction Manager oversees lease transactions, legal documentation, and portfolio administration activities across a national retail portfolio of approximately 2,000 locations. This role partners closely with Legal, Lease Administration, Finance, Construction, Facilities, and Deal Making teams to ensure efficient execution, compliance, and lifecycle management of commercial real estate transactions. The ideal candidate combines strong organizational and analytical skills with the ability to drive process improvements, manage multiple priorities, and leverage technology solutions to improve transaction efficiency and data accuracy.

Key Responsibilities

Transaction Management & Lease Execution

· Manage commercial real estate transactions including new leases, renewals, amendments, relocations, terminations, estoppels, SNDAs, and related legal documentation.

· Coordinate transaction workflows between internal stakeholders, landlords, attorneys, and third-party partners to ensure timely execution of agreements.

· Review and analyze LOIs, lease documents, and transaction summaries to support lease execution and portfolio management activities.

· Track transaction milestones, approvals, critical dates, and execution status across the real estate portfolio.

· Ensure transaction documentation is complete, accurate, and maintained in accordance with company policies and legal requirements.

Lease Administration & Portfolio Oversight

· Oversee lease abstraction activities and ensure accurate capture of key lease terms including rent schedules, renewal options, escalation clauses, CAM charges, and critical dates.

· Monitor lease obligations, expirations, renewals, rent commencements, and compliance requirements across the portfolio.

· Partner with Lease Administration and Legal teams to resolve lease discrepancies and interpret lease language.

· Maintain data accuracy and consistency across lease administration systems and real estate databases.

Cross-Functional Leadership & Process Improvement

· Serve as a liaison between Real Estate, Legal, Finance, Construction, Facilities, and Deal Making teams to support transaction execution and portfolio initiatives.

· Assist in developing and improving transaction management procedures, reporting tools, and operational workflows.

· Prepare lease-related reports, notices, summaries, and portfolio analytics for leadership and internal stakeholders.

· Support onboarding and training related to transaction workflows and lease administration systems.

Qualifications

Education & Experience

· Bachelor’s degree in Real Estate, Business, Legal Studies, Paralegal Studies, or related field preferred.

· 2+ years of experience in commercial real estate, lease administration, transaction management, or legal real estate support.

· Experience supporting multi-unit or national retail portfolios preferred.

· Experience coordinating cross-functional projects and managing transaction workflows in a deadline-driven environment preferred.

Technical Skills

· Proficiency in Microsoft Office Suite, particularly Excel and Word.

· Experience with lease administration and real estate management platforms such as Lucernex, CoStar, MRI, LeaseQuery, or similar systems.

· Familiarity with legal document management systems and transaction tracking tools.

· Strong analytical, organizational, and reporting capabilities.

Preferred Experience

· Experience implementing or utilizing AI-enabled tools, automation platforms, or workflow technologies to improve efficiency and accuracy in real estate transactions and lease administration.

· Ability to identify process improvement opportunities and leverage technology solutions to streamline reporting, document management, lease abstraction, and transaction workflows.

· Experience using AI, automation, or data analytics tools to support portfolio management and operational decision-making is strongly preferred.
